How to switch managed IT providers without disrupting your business
Changing IT providers is not mainly a technical problem. It is an ownership problem: credentials, documentation, vendors, backups, security tools and administrator access all need a controlled handoff.
Before giving notice
- Identify Microsoft 365, Entra ID, domains, DNS, firewalls, networking, endpoint tools, backups, line-of-business systems and vendor portals.
- Confirm the business has its own administrative access where appropriate.
- Collect contracts, renewal dates, documentation and vendor contacts.
- Understand notice periods and any transition obligations.
Build a transition inventory
The new provider should know what exists before the old provider exits. Track users, devices, servers, cloud platforms, SaaS applications, networking equipment, domains, certificates, backups and security tools.
Validate identity and privileged access
Record administrative roles and service accounts. Make sure the organization can recover accounts without depending on the outgoing provider. After the cutover, review and remove old technician access, API keys, remote-management agents and shared credentials that are no longer required.
Protect Microsoft 365 during the handoff
Microsoft 365 often becomes the highest-risk transition point because identity, email, files and application access converge there. Review Global Administrator roles, Conditional Access, MFA coverage, mail flow, third-party applications and security tooling before and after the change.
Validate backups before changing anything major
Document backup destinations, retention, administrative ownership and recent restore-test evidence. Do not discover after the transition that the only person who could access the backup platform worked for the outgoing provider.
Verify endpoint and security coverage after cutover
Check that managed devices still report into endpoint management, EDR, encryption, patching and remote support systems. Compare expected devices with actually reporting devices and document exceptions.
Close the transition with evidence
A clean handoff should end with an updated inventory, administrator-access list, vendor list, backup status, security-tool coverage, open-issue list and documented removal of the outgoing provider’s access.
